These terms apply when you access the website, create an account, use a builder, purchase a document, download a generated file, use dashboard features, request support, or subscribe to Compliance Membership.

Acceptance of these terms

By using HRHeaven, creating an account, submitting builder information, or completing a purchase, you agree to these terms and any policies linked from them, including the Privacy Policy, Cookie Policy, Refund Policy, and Acceptable Use Policy.

If you use HRHeaven on behalf of a business, you confirm that you have authority to accept these terms for that business.

Nature of the service

HRHeaven provides software-generated HR documents, document builders, dashboard storage, compliance workflow tools, and related digital services for UK employers.

HRHeaven is not a law firm and does not provide reserved legal activities. Generated documents are based on the information you enter and the platform logic available at the time.

You should take professional legal or HR advice before using any document for complex, high-value, disputed, regulated, unusual, international, collective, TUPE, redundancy, dismissal, discrimination, immigration, trade union, or high-risk employment matters.

Accounts and access

You must provide accurate account and checkout information and keep login details secure. You are responsible for activity under your account unless caused by our breach of these terms.

We may suspend or restrict access where we reasonably believe there is misuse, fraud, non-payment, security risk, unlawful activity, breach of these terms, or risk to the platform or other users.

You must tell us promptly if you suspect unauthorised access to your account or dashboard.

Customer responsibilities

You are responsible for choosing the correct product, entering accurate information, checking all generated wording, confirming the final document is suitable for your circumstances, and using it lawfully.

You must not enter personal data, employee data, confidential data, or sensitive information unless you have authority and a lawful basis to do so.

You are responsible for complying with employment law, data protection law, tax and payroll obligations, right-to-work requirements, equality law, health and safety obligations, and any sector-specific rules that apply to your business.

Products, checkout, and digital delivery

Prices are shown before checkout. Products may include one-off documents, bundles, add-ons, dashboard storage, generated PDFs, document packs, checklists, or membership features.

Access to paid documents and membership features depends on successful payment confirmation. We use Stripe or another payment provider to process payments.

Generated digital content may be made available immediately after checkout, including through download links, dashboard storage, or email access links where configured.

Before a digital product is supplied immediately, the checkout flow may ask a consumer to expressly consent to immediate supply and acknowledge that the statutory cancellation right for that digital content may then be lost. The order confirmation and any required information will be provided on a durable medium where applicable.

An order is accepted when we confirm payment and begin supplying the purchased product. If an obvious pricing, product or technical error affects an order, we may contact you and offer the opportunity to correct or cancel it.

Business customers and consumers

HRHeaven is primarily designed for UK employers and business users. A customer buying wholly or mainly for business purposes is responsible for ensuring that the person placing the order has authority to bind the business.

If you are a consumer, mandatory consumer protections continue to apply. Nothing in these terms removes or restricts a right, remedy or liability that cannot lawfully be excluded or limited under UK consumer legislation.

Consumer-facing information, pricing, cancellation information and consent requests are intended to be presented clearly before checkout. If there is a conflict between a mandatory statutory right and these terms, the statutory right prevails.

Compliance Membership

Compliance Membership, where purchased or activated, provides access to the membership features described at checkout or in your dashboard, such as compliance workflows, document maintenance features, version history, or related benefits.

Membership availability, pricing, features, renewal, cancellation, and trial terms may vary by plan and will be shown in the product or checkout flow.

Unless stated otherwise, cancelling a membership normally stops future renewal at the end of the current paid period. You may continue to have access until the end of that period unless the account is suspended for breach.

Generated documents and licence

HR Heaven owns or licenses the platform, templates, software, design, content, workflows, and document-generation logic.

When you purchase a generated document, you receive a licence to use the generated output for your own internal business HR purposes. You must not resell, redistribute, white-label, scrape, bulk-copy, or use HRHeaven outputs to build a competing template or document-generation service.

You may edit generated documents for your own business use, but you are responsible for any changes you make after generation.

Availability and changes

We aim to keep HRHeaven available and reliable, but we do not guarantee uninterrupted, error-free, or permanent availability.

We may update, improve, suspend, remove, or replace features, templates, products, prices, or integrations where reasonably necessary for security, compliance, operations, supplier changes, product improvement, or commercial reasons.

We may carry out maintenance or emergency work without notice where needed.

Third-party services

HRHeaven may rely on third-party services for hosting, authentication, payments, storage, analytics, email, and support. Those services may have their own terms and privacy notices.

We are not responsible for third-party service outages, payment-provider decisions, bank verification, or customer-side browser, network, device, or email-delivery issues outside our reasonable control.

Refunds and cancellations

Consumer purchases may be affected by the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, including the rules for digital content supplied immediately after express consent.

Refund and cancellation handling is explained in our Refund Policy. Digital content may be supplied immediately after purchase, which can affect cancellation and refund rights.

Where a consumer has a statutory cancellation, repair, replacement, price-reduction or refund right, we will honour it in accordance with applicable law. Nothing in these terms limits statutory rights that cannot lawfully be excluded.

Complaints and support

Please contact support@hrheaven.co.uk with your order or account reference, the product involved, the date of the issue and the outcome you are seeking. We will acknowledge and investigate complaints within a reasonable period for the circumstances.

We may ask for screenshots, error messages, payment references or other information needed to verify the issue. We will not ask you to send full payment-card numbers or security codes.

If we cannot resolve a consumer dispute directly, you may have access to statutory routes or an appropriate independent dispute-resolution service. Nothing here prevents you from contacting a regulator, court or consumer-advice service where entitled.

Suspension and termination

You may stop using HRHeaven at any time. Closing an account does not automatically cancel a paid membership or remove records that we must retain for legal, accounting, security, dispute or audit reasons.

We may suspend or terminate access for non-payment, material breach, fraud, unlawful use, security risk or operational necessity. Where practical, we will give notice and a reasonable opportunity to remedy a breach, but urgent risks may require immediate action.

On termination, licences and access to subscription features end, but provisions concerning payment, confidentiality, intellectual property, data protection, liability, disputes and records continue where their nature requires.

Acceptable use

You must follow our Acceptable Use Policy and must not use HRHeaven for unlawful, discriminatory, abusive, misleading, fraudulent, infringing, or harmful activity.

You must not attempt to access another user's data, bypass security, overload systems, scrape the service, or interfere with platform operations.

Liability

We do not exclude or limit liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation.

Subject to that, HR Heaven is not responsible for losses caused by inaccurate customer inputs, failure to review generated documents, unauthorised edits, misuse, failure to obtain advice where needed, or use outside the intended UK employer context.

For business users, we are not liable for indirect or consequential loss, loss of profit, loss of revenue, loss of business opportunity, loss of goodwill, or loss caused by business interruption, except where liability cannot lawfully be excluded.

Governing law

These terms are governed by the laws of England and Wales.

The courts of England and Wales will have jurisdiction, subject to any consumer rights that require a different approach.
