Day-to-day operating brief
What Finance Officer work looks like in practice
A School Finance Officer processes transactions and supports budget control for a school, academy or trust. Terms should identify ledgers, purchase orders, invoices, income, school funds, payroll inputs, banking, reconciliations, grants, restricted funds, parent payments, system access, segregation of duties, month-end work, audit support and the limits of spending or payment authority. Public and restricted funds may have separate purposes, approval routes and reporting dates even when held in the same accounting system. Reconciliation should therefore preserve the source and intended use of each balance. Urgency from a senior employee does not replace quotation, receipt, supplier verification or evidence that goods were received by the school. Month-end work should track uncleared receipts, aged orders, payroll suspense and commitments that could distort the school's available budget. Access changes for leavers and role moves need prompt action, while emergency cover should preserve individual credentials and approval evidence. Grant claims should reconcile eligible expenditure, funding conditions and supporting invoices before submission. Where deadlines require estimates, the basis and later correction process must remain visible.
Individually written and reviewed against the maintained role record.
