Day-to-day operating brief
What Fleet Administrator work looks like in practice
A Fleet Administrator maintains vehicle and driver records supporting maintenance, insurance, tax, leasing and operational availability. Terms should cover databases, service bookings, MOT or inspection reminders, mileage, fuel cards, fines, accidents, breakdowns, supplier invoices, privacy and document retention. The administrator records and coordinates but should not declare vehicles roadworthy or decide liability without authority. Renewal diaries should include enough lead time for booking, repair and document receipt, particularly where vehicle availability affects service. The administrator may reconcile lease schedules, maintenance invoices and mileage or fuel anomalies while managers retain decision authority. Terms can cover secure handling of driving licences, accident photographs and medical or disciplinary information. Where a certificate is missing or inconsistent, the record should remain visibly incomplete instead of being marked current based on an appointment alone. Document reminders should distinguish booking date from completed inspection and accepted certificate, preventing an appointment entry from making an overdue vehicle appear administratively compliant. Shared inboxes and renewal dashboards should identify an accountable owner, next action and evidence deadline.
