Responsibilities reflected in the contract

A realistic working scenario

Start at depot: complete vehicle check records and fuel check, collect manifests from warehouse, confirm route in the route system, load goods with warehouse staff, deliver same‑day consignments, obtain customer signatures, update route or delivery system and mileage and incident records, escalate damaged goods, unsafe vehicle or missed handovers to the transport or depot manager and notify customer service of delivery exceptions.

Outputs to agree

• Completed vehicle check record and any defect report submitted before departure
• Updated route or delivery system entries with time‑stamped proof of delivery and mileage
• Signed customer handover evidence or electronic signature captured at delivery
• Incident or delay report submitted to the transport or depot manager and logged in the incident record

Records and evidence

• Vehicle check records and defect reports retained in vehicle or telematics system.
• Route and delivery system proof‑of‑delivery, timestamp and customer signature.
• Mileage and journey records recorded in route system or vehicle telematics.
• Incident, damage and delay reports logged and escalated to transport or depot manager.
• Fuel usage and stock movement records kept with depot manifest.

Reporting relationship

Typically reports to Warehouse Manager or Shift Supervisor. Confirm the employer's actual reporting structure in the builder.

Authority and escalation

• May make immediate operational decisions necessary for safe delivery such as refusing to drive an unsafe vehicle, securing or quarantining damaged goods, or altering delivery sequence for safety. Any vehicle defects, suspected safety risk, damaged goods, missed handover or data breach must be escalated to the transport or depot manager; only the transport or depot manager may approve route reallocation or off‑manifest consignments.
• Obtain approval before committing expenditure, changing contractual commitments or making regulated or staffing decisions outside the assigned role.
