Day-to-day operating brief
What Transport Coordinator work looks like in practice
A School Transport Coordinator organises routes, vehicles, drivers and escorts for pupils travelling to education, including pupils with additional needs where applicable. Terms should cover eligibility information, manifests, pickup points, family contacts, operators, vehicle and restraint requirements, safeguarding, absence, delays, severe weather, incidents, data sharing, complaints and the boundary with local-authority placement decisions. Transport records must distinguish the planned passenger list from the pupils who actually boarded, transferred and arrived. A last-minute vehicle or escort substitution needs equivalent checks and access only to the information required for that route. Repeated lateness, distress or failed handover may indicate a service or safeguarding problem rather than an isolated operational delay. Vehicle requirements may include wheelchair position, harness, passenger assistant, storage or communication arrangements specific to the pupil and route. These details must remain current and available to verified replacement staff without exposing broader education or health records they do not need.
Individually written and reviewed against the maintained role record.
