Day-to-day operating brief
What Viewings Coordinator work looks like in practice
A Viewings Coordinator books, confirms and may conduct property viewings for buyers or tenants. Terms should cover applicant details, occupied-property notice, keys, alarms, lone working, cancellations, accessibility, feedback and what property information may be communicated. The coordinator should not reveal security details, enter without confirmed authority, make discriminatory screening judgements or promise that an offer or application will succeed. Appointment records should show who authorised access, who is expected and any property-specific restrictions without exposing alarm details to applicants. After the last viewing, keys, windows, lights and alarms need a defined closure check; verbal assurance that another agent will return is not an adequate handover. Feedback requests should avoid pressuring applicants to disclose protected or irrelevant personal circumstances. No-show and cancellation data should improve scheduling without creating unsupported assumptions about applicant reliability.
Individually written and reviewed against the maintained role record.
